  • A User Pass is only consumed when an eligible user accesses a unique app.

  • Once a User Pass is consumed, the user has unlimited access to that app for the rest of the calendar month.

  • Eligible users include:

    • External users outside of the organization.

    • Unauthenticated users (users who do not sign in).

    • Under-licensed users (e.g., an AppSheet Core user accessing an Enterprise Plus app).

  • If the same user accesses multiple apps, additional User Passes are consumed accordingly.

  • No Admin Headaches: Since User Passes are pooled and not assigned individually, there is no need for admins to manually manage app access for temporary users.


Managing User Pass Licenses

Organizations can purchase User Pass licenses through their AppSheet subscription, and the total number of available User Passes resets at the end of each calendar month. Unused passes do not roll over to the next month, ensuring fair and predictable usage costs.


When nearing the limit of purchased User Passes, admins can buy additional passes, which are then added to their billing plan with a minimum one-year commitment.
